Effective 28 June 2026

Nityodaya ERP ("we", "us", "our") provides cloud-based School ERP software to schools in India. This policy explains what personal data we collect, why we collect it, and the choices you have. By using our website or software you agree to the practices described here.

1. Who controls the data

The school that subscribes to Nityodaya ERP is the data controller of the student, parent and staff records it manages in the system. We act as the data processor, handling that information on the school's instructions and only to provide and support the service.

2. Information we collect

  • From website visitors: the details you submit through our demo request form — school name, contact name, mobile number, optional email and approximate student count.
  • From schools using the software: records the school enters, such as student and staff profiles, attendance, fees, exam results, timetables and communication logs.
  • Technical data: standard server logs (IP address, browser type, pages visited) used to keep the service secure and reliable.

3. How we use information

  • To provide, operate, support and improve the Nityodaya ERP service.
  • To respond to demo requests and customer enquiries.
  • To send service-related notices (for example, billing or security updates).
  • To meet legal, accounting and regulatory obligations.

We do not sell personal data, and we do not use student data for advertising.

4. How information is shared

We share data only with trusted service providers that help us run the platform — such as cloud hosting, payment gateways and messaging (SMS/WhatsApp/email) providers — and only to the extent needed to deliver the service. These providers are bound to protect the data. We may also disclose information where required by law.

5. Data security

Data is hosted on secured servers with access controls, encryption in transit and role-based permissions within the application. While no system can be guaranteed perfectly secure, we take reasonable technical and organisational measures to protect your information.

6. Data retention

We retain school data for as long as the subscription is active and as needed to provide the service. On account closure, data is retained for a reasonable period to allow export, after which it is deleted or anonymised, subject to any legal retention requirements.

7. Your rights

Schools, and the individuals whose data a school manages, may request access to, correction of, or deletion of personal data. Requests from students or parents should first be directed to their school. For all other queries, contact us using the details below.

8. Children's data

The software is used by schools to manage student records, which may include minors. This data is entered and controlled by the school under its own authority and consent processes. We process it solely on the school's behalf.

9. Changes to this policy

We may update this policy from time to time. The "Effective" date above reflects the latest version. Material changes will be communicated to subscribing schools.
